MEPSub + Procore: your GC’s RFIs and submittals, on your job

Your GC runs the project in Procore. You run your company in MEPSub. Link the two and your team sees the GC’s RFIs, submittals and drawings on the MEPSub job — and answers them from the same screen, under their own Procore login. No retyping between systems.

How it works

Four steps, once per project

Built for the subcontractor side of a Procore job.

1 · Connect your Procore login

Each person connects with their own Procore account in MEPSub Settings → Connections. MEPSub sees exactly what Procore lets that person see — nothing more.

2 · Link the project

Pick the GC’s Procore project next to your MEPSub job. One click, and the two are tied together.

3 · See it and answer it

The project’s RFIs and submittals show up on your MEPSub job — number, title, status and who has the ball. Answer from the same screen.

4 · Turn on live updates

When an RFI or submittal changes in Procore, the people on your job get a MEPSub notification. No checking two systems.

What moves between the two

The GC’s items, where your team already works

Everything starts with a person clicking — MEPSub never changes anything in Procore on its own.

  • RFIs and submittals from the linked Procore project, with status and ball in court
  • Answer an RFI — the reply is posted in Procore under your name
  • Move a submittal to its next status, from the GC’s own status list
  • Pull the drawing revision you need onto the MEPSub job
  • Notifications when an RFI or submittal changes in Procore
On a linked job
RFI #14Duct routing at grid C-4 — ball in court: you → answered in MEPSub, reply posted in Procore
Submittal 23 05 93-02Test & balance report → status set from the GC’s own status list
DrawingsM-201 rev 3 → PDF pulled onto the MEPSub job
Live updateRFI #11 closed in Procore → PM and foreman notified

Two ways in

Live connection, or the emails you already get

Live connection

MEPSub app in the GC’s Procore account
  • See and answer RFIs and submittals
  • Pull drawings
  • Live updates from Procore
  • Each person uses their own Procore login

Procore inbox

Nothing installed in the GC’s Procore
  • Forward the RFI and submittal emails Procore already sends you to your private MEPSub address
  • MEPSub files each one on the right job, with its attachments
  • Answer in Procore as you do today
  • A separate MEPSub feature — it uses no Procore connection
Your GC’s data, handled carefully

What MEPSub keeps — and what it doesn’t

Your login, your permissions

Standard Procore sign-in (OAuth). MEPSub never sees your Procore password, and tokens are stored encrypted (AES-256).

Nothing deleted in Procore

MEPSub only adds what you send — an RFI reply or a submittal status — and never deletes a Procore record.

Read live, not copied

Questions, answers and submittal details are read from Procore when you open them. MEPSub keeps only what it needs to show the list: number, title, status and ball in court.

Unlink means gone

Unlink a project and MEPSub deletes what it kept for it — cached statuses, update history and drawings you pulled. Disconnect removes your Procore login.

Kept out of AI

Procore data is not sent to MEPSub’s AI features, and AI never writes to Procore.

Only the drawings you pull

MEPSub lists the current drawing revisions and stores a PDF only when you pull it onto the job.

Questions, answered

Is MEPSub a replacement for Procore?

No. Your GC runs the project in Procore. MEPSub is where an MEP subcontractor runs the company — estimating, crews, service, purchasing and billing. The connection lets the two work together so nothing is typed twice.

Does the GC have to install anything?

For the live connection, the GC’s Procore company admin adds the MEPSub app to their Procore account — we walk them through it. If that isn’t possible on a job, the Procore inbox keeps you current from the emails Procore already sends you, with nothing installed.

What can my team do in Procore from MEPSub?

Answer an RFI and change a submittal’s status — only when someone clicks, under that person’s own Procore login and permissions. Everything else is read-only.

What happens when we finish the job?

Unlink the project. MEPSub deletes the Procore data it kept for it; your own MEPSub records (the job, your RFI log, your notes) stay yours.

How do we get started?

The Procore connection is set up with our team. Contact us and we’ll connect it with you and your GC.

Procore is a trademark of Procore Technologies, Inc. MEPSub is an independent product and is not affiliated with or endorsed by Procore.
