Step by step
- Open Service → Jobs. The tiles across the top (Open, Scheduled, In progress, Unscheduled, Overdue, Ready to invoice) filter the list, and the pills switch between All jobs, Project work and Service calls. Tick several cards and click “⬇ Close-out ZIP” to download their close-out PDFs in one file.
- Click “+ Job” (or + New in the dock) and fill in the type (Planned WO or Service call), customer and site, scope of work, billing — Time & Materials or Fixed price — the crew and the date. Calls that come in by phone go on Service → Service calls with “+ New service call”; “→ Convert to work order” turns a call into planned work.
- On the job page the header shows the job number, customer, site, date and crew, plus one button for the next step: Schedule job, Clock in or Start job, Complete & close out (or Mark complete), then Create invoice. Field Assist, Chat, Documents (close-out PDF, reports, forms), Edit and More sit next to it.
- The status bar under the header runs New → Scheduled → In Progress → Complete → Invoiced → Closed. Click a step to move the job there; “Put on hold” and Resume sit at its right end.
- The tabs stay at the top as you scroll: Overview, Time & materials, Checklist & forms, Photos, Report & sign-off (and Calls when there are any). Badges flag what is left, such as “3 to approve” or “4/6”. The column on the right sums up the customer, site, equipment, crew, money and warranty.
- Overview → Close-out readiness lists what is missing before the job can be finished and billed — crew, visit date, time & materials, checklist, photos, service report, customer sign-off — each with a button that takes you there.
- On Time & materials, add or approve labor (“Approve all open entries”), add materials, and write up Extra work the customer signs on the spot; signed extra work lands on the next invoice. On Photos, choose Before or After for new uploads, filter by tag, change the thumbnail size, or click Select to tag or delete several at once.
- To finish, click “Complete & close out”: add photos of the finished work, tick the checklist, write what was done (it goes on the invoice), get the signer’s name and signature, then “✓ Mark job complete”. The header then offers Create invoice.
Note: A service call is a job of type Service call — it opens on the same job page as planned work.
Careful: Complete a job only when its labor and materials are final; they flow into the invoice and job costing.
Tips
- Techs get a push reminder (“WO-123 was set for 7:00 — clock in when you start”) when they have not clocked in 15 minutes after a job’s start time. Turn it off under Admin panel → Team & PTO → Remind to clock in.
- A lock next to a time entry means its payroll week was already exported. Unlock the week on Timesheets & payroll before you edit or delete it.
- When the customer rates the visit in the portal, the stars and comment show on Report & sign-off under Customer rating.
