Step by step
- Open Settings → Connections → Procore (or the Procore page) and click Connect Procore — connecting needs the Integrations permission, which owners and admins have. You sign in with your own Procore login, so MEPSub only sees the projects and items Procore already shares with you; once connected, Manage Procore projects → opens the Procore page.
- On the Procore page click Link a project, pick the Procore company, the Procore project and the matching MEPSub project, then Link project. That link decides which RFIs, submittals and drawings show; with several links, switch with the project buttons. Unlink removes the link and MEPSub’s hook and changes nothing else in Procore.
- RFIs and submittals live in the GC’s Procore company, and that company has to install MEPSub once. Click Invite your GC’s Procore admin and send the message (Copy message or Open in email): their company admin opens Company → Admin → App Management → Install App → Install Custom App and pastes the App Version Key in it.
- Another way in: if the GC already shares its RFIs and submittals with your own Procore project through Procore Connect (Connection Manager), link your own project instead. Those items show as “From the GC — shared through Procore Connect, read-only”, and the GC installs nothing.
- Click Turn on live updates on a linked project. MEPSub creates a webhook on that Procore project, RFI and submittal changes arrive as they happen, and an open page refreshes itself (“Updated from Procore”). Turn off removes the hook.
- Work the tabs: RFIs — Reply posts your answer to Procore under your Procore name; Submittals — Set status changes the status in Procore (review comments and approvals still go through Procore’s workflow); Drawings — Pull into MEPSub keeps a copy you open with PDF, and Re-pull fetches it again; Activity lists what came in.
- Procore limits how many calls MEPSub may make per hour and in short bursts. MEPSub keeps a few calls in flight at a time and waits once when Procore asks it to slow down; if you still see “Procore is limiting how fast MEPSub may call it (429)”, wait a minute and reload.
Tip: Your GC hasn’t installed MEPSub in its Procore? The Procore inbox keeps RFIs and submittals current from the emails Procore already sends you.
Tips
- Link the project before you expect to see anything — an unlinked project shows no RFIs, and that is the usual reason the list looks empty.
- If the GC won’t install MEPSub, use the Procore inbox: the emails Procore already sends you keep your RFIs and submittals current.
